Payroll and HR Administrator - Fremont, CA

  • Manage the day-to-day operations of payroll administration, time reporting, taxes and garnishments
  • Ensure accuracy of all government reporting requirements for payroll taxes, withholding and employer contributions
  • Ensure timely and accurate calculation and delivery of employee pay, deductions, taxes, etc. including time reporting, employee data capture, and payroll processing
  • Coordinate with Accounting to ensure seamless and timely integration of information
  • Answer employee questions and resolve problems
  • Maintain and audit PTO accrual
  • Review month-end, quarterly, and annual reporting
  • Create department summaries of compensation for Department head
  • Prepare payroll related journal entries, account reconciliations and analysis as needed
  • Other duties as assigned


  • Responsible for on-boarding of new hires
    • Conduct new employee orientation
    • Enter new employee information into Oracle and Paychex Payroll portals.
    • Add new employees on to benefits programs
  • Assist with the implementation of recruiting strategy as directed
    • Post and track job postings internally and externally
    • Place job adds as requested by internal hiring managers
  • Administer Benefit program (to include accounting reconciliations of invoices)
  • Complete employee verifications
  • Maintain HR Intranet portal for updated content and resources
  • Maintain and audit HR recordkeeping practices (employee files, I9, WOTC, etc.)
  • Perform other duties in support of the HR team as directed



  • Bachelor’s degree preferred or minimum of 2-3 years of relevant work experience
  • Experience with ADP Workforce payroll and other HRIS systems strongly preferred
  • Experience with Microsoft Office – Word, Excel, Powerpoint required
  •  Prior experience working as an HR Administrator and/or Payroll accounting strongly preferred
